Please note:

  • The conference registration is not complete until the conference registration fees have been received. Once you have registered for the conference please login to gain access to the payment function.
  • If you are submitting a paper please wait for acknowledgement of paper acceptance before registering for the conference (unless you will be attending the conference regardless of paper submission).

If there is no Botswana embassey in your country:

1) Scan all the required information and email to Dorothy Mpabanga at Botswana University [email protected]

2) They will print and send to Immigration to process and then scan the visas and send them back to participants

3) The associated letter will have a condition that participants will pay the P500 (USD63.00) upon arrival at the airport. Otherwise, they will not be allowed entry into the country.

Financial Support

AFAM is unable to offer financial support to cover any of the costs associated with participation in the conference. For participants who need financial support to cover their travel, registration and subsistence costs, we suggest applications to external and national funding agencies.

Letters of Invitation

Invitations will be issued only to conference participants and their accompanying partners who have paid the conference registration fees in full.

Those who need an invitation letter for Botswana visa application after they have paid the conference registration fees in full should contact, Dr. Dorothy Mpabanga at  [email protected], or [email protected]  and Dr. Eileen Kwesiga (Program Chair) at stating their full name, address, email address, title of their presentation and the track their presentation was accepted. The invitation will be sent via e mail.

Due to legal reasons, AFAM would not be able to offer letters of invitation to any prospective participant before the full payment of the conference registration fees.

Should you wish to cancel your registration to the 2nd Biennial AFAM Conference, you will receive a full refund if your cancellation is received at least twenty (20) days before the start of the conference (i.e., by 20th December 2013) by written notification to [email protected]. For cancellations received after the 20th December 2013 a charge of US$100.00 will be levied.

Refunds will be made as follows:

  1. For payments received by credit or debit cards through PayPal, credit will be issued through PayPal to that credit/debit card account.
  2. For payments received by check, bank draft, or bank transfer in the US, a US Dollar Check will be sent to the original payee.
  3. For payments received from outside the US by bank transfer, a transfer will be sent to the original payee’s account.

All refunds will be made in US dollars and will be the same amount as was received. Note that differences in the amount paid and the amount refunded may occur due to exchange rate fluctuations, and for refunds made by bank transfer or PayPal, all bank and PayPal charges will be payable by the registrant.

Cancellation Policy for Optional Tours

There may be optional tours arranged during the conference and any cancellation of or changes to the optional tours must be sent to the Local Arrangements Committee (LAC) at the University of Botswana via Dr. Dorothy Mpabanga at [email protected], or [email protected] in writing. The LAC will determine the fee to be refunded.

Accommodation Cancellation

All accommodation must be booked through the Local Arrangements Committee at the University of Botswana so their cancellation and refund policy applies.
